General Services Department (334-615-3400)
The General Services Department is located at 288 Complex Drive and
provides services to the Citizens of Dothan, and City Departments
through: Internal Audits, Community Affairs, Safety, Purchasing,
Landscaping, Facilities Maintenance and Fleet
Services.
Facilities
Maintenance Division
The Facilities Maintenance Division is
responsible for Maintenance and repairs on 192 city buildings
encompassing 1,176,578 square feet. Facilities Maintenance manages
and coordinates all maintenance, remodeling and repairs which
includes painting, carpentry, cabinet making, dry walling, metal
buildings, roofs, foundation layouts, plumbing, electrical and air
conditioning. Facilities Maintenance is responsible for preparing
specifications and obtaining estimates for external maintenance
activities. They also provide 24/7/365 on-call services for
building maintenance and mechanical problems, as well as, provide
on-call services for stadium maintenance during stadium activities
at Rip Hewes Stadium.
Fleet Services
Division
The Fleet Services Division is responsible for the acquisition,
maintenance and disposal of the city's fleet which is comprised of
approximately 970 vehicles and pieces of equipment valued at over
$20,000,000. Activities include: supervising and coordinating the
daily maintenance and repair of all city vehicles and equipment,
maintaining vehicle operating and maintenance cost records which
involves evaluating information for recommending vehicle disposal
and replacement, developing vehicle and equipment specifications,
recommending acquisitions for shop equipment to promote greater
efficiency in the operations, determining inventory levels and
monitoring fuel supplies.
Internal Analyst
The Internal Analyst provides operational support and management
reviews for all city operations as required or requested.
Activities include: special reports and studies at the request of
the City Manager or Board of Commissions, audits various activities
and operations as directed, information supplied on request to all
city departments, development of recommendations to achieve better
efficiency or better internal controls, information supplied to
departments on problems they may not be aware of in their
departments in the processing of information or the recording of the
information, monthly review of utility billing reports to verify
accurate integration of the reports, sample of utility customer
bills each billing cycle recalculated for accuracy, reliable
quarterly stopped water meter list for Dothan Utilities, assist
departments in review and analysis of new software programs
requiring conversion of historical data with development of reports
as needed, monthly and year end analysis of diesel and unleaded fuel
consumption by the city, co-ordinate and standardize the city
Policies and Operating Guidelines.
Landscaping
Division
The Landscaping Division is responsible for landscaping and
beautification activities at all city facilities. Activities
include: supervising five employees, landscaping all city property,
mowing and care of city parks and other city properties, maintaining
trees, flowers and shrub beds, assisting city departments with their
existing landscaping and any other related problems, cleaning the
five city parks.
Purchasing
Division
The Purchasing Agent is responsible
for insuring that all purchasing done by the City of Dothan is done
in compliance with applicable state laws, city ordinances and
policies. Activities include: reviews, approves and processes all
purchase requisitions; reviews, approves and processes all
requisitions for bids, conducts formal bid openings, tabulates
results and processes bids for review and approval by the user
department; performs required system maintenance on the city's
Purchasing/Inventory System, including system files, vendor files,
bid status and results files, commodity code files, month end and
year end closeout and system updates, answers purchasing questions
and resolves issues with vendors, the public, elected officials and
city employees, develops and updates purchasing policies and systems
for use by all departments, prepares the weekly purchasing
resolution for the Commission agenda, processes bid bond checks and
request refund checks after bids have been awarded.
Safety Division
The Safety Officer is responsible for
insuring that our employees are provided a safe work environment.
Activities include: Investigating all accidents involving city
employees, investigating all claims against the City of Dothan,
conducts the Employee Safety Committee meetings, conducts department
employee safety meeting with all city departments, develops safety
policies and procedures for the City of Dothan, conducts safety
inspections of City of Dothan buildings and vehicles.
